Mindful Language Use: Always communicate in a clear, concise, and respectful manner. Written messages can be easily misinterpreted since tone of voice and body language are absent.
Avoiding ALL CAPS: Typing in all capital letters may be perceived as shouting or aggressive. Reserve it for emphasis only when absolutely necessary.
Slang and Sarcasm: Professional communication should avoid slang, inside jokes, or sarcasm, as these can create confusion or appear unprofessional across diverse audiences.
Use of Emojis: Emojis can humanize digital communication, but they must be used sparingly and only in contexts where they are acceptable. For instance, a smile emoji may work in team chats to convey friendliness but should not replace formal expressions in business emails or official documents.

Respecting Boundaries

Reasonable Response Hours: Be mindful of colleagues’ working hours and avoid sending non-urgent messages late at night or during weekends. Respecting time zones and personal boundaries shows professionalism and courtesy.
Availability Status: Pay attention to “Do Not Disturb,” “Away,” or “Busy” statuses on collaboration platforms. Interrupting during these times may be disruptive. Instead, schedule messages or use asynchronous communication when possible.
Setting Expectations: When necessary, communicate your own boundaries by setting availability hours, out-of-office responses, or status updates to manage others’ expectations.

Digital Footprint Awareness

Permanence of Online Communication: Anything shared online, whether in emails, chats, or social media can be saved, screenshotted, or forwarded. Always write with the awareness that your message may be seen beyond the intended audience.
Crafting a Professional Digital Identity: Curate your online presence to reflect professionalism and credibility. This includes using appropriate profile pictures, writing clear bios, and engaging respectfully in professional forums and platforms like LinkedIn.
